SMART provides the ability to communicate with field engineers and allocate and monitor jobs with maximum efficiency.
Meter reading & meter reading summary
Meter reading summary provides administration staff with the ability to view meter reading information at a glance. If required, staff can view further levels of information for readings, for example:
- Contract
- Contract type
- Pricing
- Meter billing
In addition, should the need arise, staff can record and correct readings.
Reading History
All meter readings are recorded within SMART; this provides staff and customers with unlimited accurate historical time and date information. This enables staff to resolve queries with ease using a simple online customer portal management tool. In addition if it is agreed that a reading is incorrect, the option to amend it is available at administrator level.
Customer Portal
SMART provides the facility for customers to read and record their own meter readings. Customers are supplied with an email link to a secure URL where they can log in at requested intervals and record their readings. This feature can produce considerable time and resource savings. In addition, customer portals can be configured to enable customers to view their previous meter readings using SMART’s meter reading management utility.
Quotes, Contracts, and Meter Billing
Depending on the type of quote or contract being created, SMART can stipulate appropriate mandatory data. The types of contracts that are currently available as standard comprise:
- Additional Service
- Direct
- Lease
- Purchase
- Purchase and Service
- Service
- Total Volume Plan
If required, additional contract types can be created, comprising rules and mandatory data. A maintenance feature is provided for use by systems administrators.
Reading Schedule/Frequency
Meter reading frequency can be daily, weekly, monthly, quarterly, half-yearly, or annually. This option can be defined when quotes or contracts are built.
Multi Meter Billing
With SMART, multiple meters within the same contract is no longer a problem. In addition, for each meter, a different set of pricing rules can be applied. Currently, multi meter billing types comprise:
- Billing per serial
- Meter Billing
- Volume Plan
- Minimum billing
The following options are included in SMART to enable the creation of contracts that are based on complex billing requirements:
- Fixed price
- Price per copy
- Block Qty
Additional Services
SMART allows the creation of rules sets that can be applied to additional services to which customers can subscribe (e.g. software support, peripheral warranties, and scheduled maintenance). The services can be added to contracts or meter types at any point and the corresponding rules will automatically be applied.
Cancel Contracts and Termination
Calculating final bills when contracts are cancelled or terminated early can be potentially be a complex task, as several stakeholders may owe or be owed money. SMART’s Cancel and Termination module simplifies this process by using the information that was recorded when contracts were created.
Contract Management
This feature enables staff to search for and display contracts using the following filters:
- Business unit
- Customer
- Site
- End-user
- Product
- Serial
- Customer purchase order
- Start date
- Expiry date
The resulting contract details can be downloaded in Excel format.
Scheduling and Planning
SMART Scheduling and Planning routes incoming jobs into an ‘unscheduled activity’. Schedulers then check each activity and allocate a suitable engineer to the corresponding job. SMART assists with this task by suggesting the engineer who is best qualified to complete the job based on the product, and location and skills of the engineer.
Web Tracking
Allow customers to track their repairs and view status and repair history.
Warranty Checking
Warranty checking can be configured to check warranty dates or match products using product serial numbers.
Warranty Claims
This feature provides repair warranty tracking, supplier warranty tracking, and full warranty checking using manufacturers’ serial numbers, databases, or date codes. All aspects of the warranty claim management process are accommodated, including claim file generation and acceptance processing.
PDA Connectivity
This feature allows an engineer in the field to collect his or her call information and send acknowledgement of receipt. Job completion details and parts used or required information is also sent via the remote device; which allows billing information to be despatched without delay, thus providing improved response times and invoicing efficiency.
